Annual Meeting & Pump Truck Software Rollout

Annual Meeting Notice:
This weekend marks our Annual Membership Meeting. Please be advised that the RBMC Office will be closed for the duration of the meeting to allow staff participation and support for the event.

Pump Truck Software Update:
We are excited to share progress on our new pump truck software system, which is nearing full deployment. Staff training has been completed, and we’ve officially entered the live testing phase. Our pump truck operators are now using the system in real time to identify and resolve any potential issues.

Important Member Notice:

During this testing phase, operators will not be able to deviate from their assigned pump-out routes. If you need service, you must sign up at the security desk. Emergency pump-outs will still be handled as they are entered into the system, but flagging down an operator on the road will not be possible.

Key Features of the New System:

  • Mobile & Kiosk Sign-Up: Members will soon be able to request pump-outs directly from their phones or through a touchscreen kiosk at the guard shack.

  • Smart Routing: Requests are assigned to drivers who receive optimized routes via tablets, reducing unnecessary backtracking.

  • Real-Time Notifications: After service is completed, members will receive a notification confirming the pump-out.

  • F.I.F.O. System: The software uses a First In, First Out structure, while also prioritizing route efficiency. For example, if two neighboring lots sign up at different times but a third, distant lot signs up in between, the system will keep the truck on an efficient path to avoid doubling back.

  • Analytics in Action: The software also collects performance data to further improve operations over time.

We deeply appreciate the time and effort invested by the developer in creating this system and look forward to sharing a full rollout plan with step-by-step instructions soon.

Security & Compliance Summary  

Security issued one Stop Work Order this week.

A total of six incident reports were filed for the following violations:

  • Speeding

  • Verbal abuse against an RBMC employee

  • Medical emergency

  • Working without an A&E permit

  • Working after a Stop Work Order was issued

  • Tampering with an electrical box

Six citations were also issued:

  • Performing work after a Stop Work Order was issued

  • Working without an A&E permit

  • Speeding

  • Verbal abuse against an RBMC employee

  • Moving a survey peg

  • Tampering with an electrical box

We appreciate everyone’s cooperation as we continue working to maintain a safe and compliant environment for all members.


Accountant’s Summary 

As we prepare for the Annual Meeting this weekend, here are a few important financial updates:

Easter Storm Costs:
The storm over Easter weekend cost us approximately $27,000 in repairs and cleanup.

Budget Update:
We’ve collected over 99% of the 2025 dues based on our budgeted projections—thank you!
On the spending side, we’ve used about 32% of our budgeted expenses so far this year. That means 68% remains, which is exactly where we want to be at this point—above the 50% threshold and on track.

Looking Ahead:
The next major financial meeting will be the Budget Meeting in October. We’re beginning the preliminary planning process now. If you’d like to be involved, please stop by the office to fill out a Committee Interest Form.

Monthly Statements:
We’ve started sending monthly statements via email. If you haven’t received one and would like to, please reach out and let us know!

Maintenance Summary 

Over the weekend, we experienced two significant power outages. The first outage originated on our end and was resolved quickly. The second outage occurred on Potomac Edison's side, resulting in a longer restoration time.

Thankfully, power was restored before the water tower reached a critical level. In the meantime, our pump trucks—normally inactive on Sundays—were operating overtime to prevent the pump station from overflowing. Thanks to the team’s swift response, we were able to stay ahead of the situation.

We are currently investigating any potential connection between the two outages and exploring measures to prevent or minimize the risk of similar incidents in the future.
 

Pump Truck Software Test Update

We’re happy to report that the initial test of the new pump truck software was a success! After addressing a few routing glitches midday, everything ran smoothly. While additional testing is still needed, even our most skeptical team members are feeling optimistic.

Once the system is fully operational, you’ll be able to register online through the website. This will allow you to:

  • Sign up from any device

  • View your pump-out history

  • Receive real-time updates when your pump-out is completed

  • Be notified if an issue prevented service

New Kiosk Option at the Guard Shack
In addition to online registration, a self-service kiosk will replace the current paper sign-up sheets at the guard shack. Using it is simple—easier than ordering a sub at Sheetz:

  1. Touch the screen to wake it up

  2. Select "Request Pump-Out"

  3. Choose your block and lot

  4. Enter your name

  5. Confirm your information

Note During Testing
To ensure accurate data collection, drivers will follow a strict test route and won’t be able to make exceptions or skip around. Please be patient during this phase—it helps ensure a reliable system for everyone.

If the next round of testing goes as smoothly, we expect to roll out the system very soon.

 

Mini Golf Committee Summary

The Mini Golf Committee would like to extend a heartfelt THANK YOU to our incredible Maintenance Crew for the repairs and clean-up efforts they've already completed! Thanks to your hard work, the Mini Golf Course is already looking better, and we’re excited for what’s to come.

Throughout the month of June, the Mini Golf Committee will continue working on additional improvements to the course. Your support helps make these efforts possible—and we have a fun way for you to get involved!

Starting this Saturday, we will begin selling 50/50 Raffle Tickets to raise funds for continued renovations. Tickets can be purchased from:

  • Bobbi Johnson at Lot #77-17 Park Blvd

  • Theresa Fadely at Lot #77-66 Park Blvd

Tickets will be available for purchase through July 4th Weekend, and proceeds will go directly toward upgrading the course for everyone’s enjoyment.

Boat Club Summary

Members are reminded of several important dates and activities throughout the summer and fall:

  • Membership Renewal & Key Exchange will take place on Saturday, June 7, from 10:00 a.m. to Noon at the parking lot near the guard shack.

  • RBBC Annual Picnic is scheduled for Saturday, June 21, from 12:00–2:00 p.m. at Pavilion 2 (by the horseshoe pits). Advanced reservations are required—the last day to reserve is Sunday, June 15. Contact any RBBC Officer to sign up.

  • Youth Fishing Tournament:

    • Registration Deadline: Sunday, July 6, by 4:00 p.m.

    • Prep Meeting: Friday, July 11, 6:00 p.m. at Heidi Easterday’s lot (79/22)

    • Tournament Day: Saturday, July 12

      • Check-in: 6:00–6:30 a.m. at Pavilion 2

      • Fishing: 6:30–10:00 a.m.

      • Event Ends: 1:00 p.m.

  • Dock Removal is tentatively scheduled for Saturday, October 11, weather permitting. Members are asked to stay tuned to the park newsletter, Facebook page, and the RBBC website for confirmation and updates.

Christmas in July Summary

Christmas in July is Coming to River Bend
Saturday, July 19th — Starting at 12:00 PM
Location: Ranger Station (Enter by Laundry Room)
Doors open at 11:30 AM

Santa Claus is taking a summer break to visit all the good boys and girls at River Bend! Join us for a heartwarming celebration as Santa arrives at the Ranger Station on Saturday, July 19th at noon. Children 10 and under are invited to sit with Santa, share their Christmas wishes, and enjoy a festive afternoon filled with holiday cheer.

Each child will receive:

  • A visit and photo opportunity with Santa (parents are welcome to take their own pictures)

  • A gift

  • A door prize ticket — when their number is called, they may choose a gift of their liking (must be present to win; no ticket transfers please)

  • A candy-filled stocking for toddlers and up

  • A hot dog, drink, and snack

Raffle tickets will also be available for purchase to help support the cost of this event.

Help Us Make the Magic Happen

  • Decorating Volunteers Needed: Meet at the lower Ranger Station on Friday, July 18th at 7:00 PM. It usually only takes about an hour, especially if we have some tall helpers. New and long-time members alike are encouraged to lend a hand.

  • Event Day Volunteers: We also need helpers on Saturday from 11:00 AM to 2:30 PM to assist with the event. If you’re available, please contact Sylvia.
